Import attendance records

If there are attendance records missing, you can manually import them to SeaTalk.

Permissions needed

Before you start

1. Download the template for import

  • In the SeaTalk Admin Center, navigate to Application > Leave & Attendance.
  • In the left panel, click Attendance Summary.
  • In the upper right, click Import Attendance.
  • In the dialog box, click Download Template. This will prompt a download of a .XLSX file.

  • Download and open the file. You need to add in the attendance information to this template file for import.

2. Set up your import file

In the template spreadsheet, you can view instructions and details on each employee. Each employee row will have blank cells for your employees’ attendance date and clock-in/out time.

Enter the attendance records you want to import in the template and save the file.

For your attendance records to be imported:

Some guidelines on entering information:

  • In the Attendance date column, enter the dates your employees clocked in or out, in the format YYYY-MM-DD.
  • In the Clock-in/out Time column, enter the dates and times your employees clocked in or out, in the format YYYY-MM-DD HH:MM.
  • For each time your employee clocked in or out, a row with his details must be created. You can copy and paste the employee’s row that’s included in the template. For example:
  • Jennifer clocked in at 8am and clocked out at 5:30pm.
  • The sheet should have two rows for Jennifer, since there are two times.
  • The admin copies and pastes Jennifer’s row in the template to have two rows.
  • One row will have the 8:00 clock-in time.
  • The other will have the 17:30 clock-out time.

  • Ensure each row has the correct employee details, including their name, email, and UID. This is provided in the template you download.

3. Import your attendance records

Once you’ve saved your attendance information in the import file:

  • In the SeaTalk Admin Center, navigate to Application > Leave & Attendance.
  • In the left panel, click Attendance Summary.
  • In the upper right, click Import Attendance.
  • In the dialog box, click the inbox icon and select your import file.

  • Click Import.
  • View how many rows were imported successfully and how many failed to import. If there were errors, click Click to download failed data and download the .XLSX file. In the file, reasons for the error will be added as comments.
  • Click Done.
