Set up and manage your organization efficiently

Report on company attendance

After you’ve set up your attendance system, you may want to analyze your employees’ attendance records.

If you’re taking attendance outside of SeaTalk, learn how to import attendance records manually.

Permissions needed

Before you start

View attendance records on a daily basis

  • In the SeaTalk Admin Center, navigate to Application > Leave & Attendance.
  • In the left panel, click Attendance Summary.
  • By default, you’ll be brought to the Daily Report tab and be shown the latest records.
  • To change dates, click the calendar icon and select the start and end dates you want to view.
  • To filter the employees further, click the Department, Work Group, and Employee Status dropdown menus and select the type of employees you want to view.

  • In the table, view the attendance records in detail.
  • Employee: name and image of the employee.
  • Work Group: the work group the employee is part of. Learn more about work groups.
  • Attendance Type: whether they have weekly fixed shifts or manually scheduled shifts. Learn more about these attendance types.
  • Attendance Date: the specific date of the shift.
  • Shift Type: the type of shift they were scheduled. Learn more about shift types.
  • Work Shift: the time of their shift.
  • Attendance Result: 
  • Normal: the employee’s clock-in and clock-out times match the correct start and end timings according to their assigned shift.
  • Abnormal: the employee’s clock-in and clock-out times did not exactly match the correct hours required by the shift they are assigned to.
  • Absent: the employee did not take attendance or the employee’s clock-in and clock-out times did not meet the minimum working hours required.
  • Pending: the result is still pending (e.g., the day has not ended).
  • Clock In/Out Details: the time they clocked in and out. If it’s labelled No Record, you can click to add a time for the employee.
  • Actual / Required Working Duration: the amount of time they worked against the time required. This is based on the employee’s assigned work shifts.
  • Over Working Duration: the additional amount of time clocked over the required working hours. This is based on the employee’s assigned work shift.
  • Overtime Duration: the amount of time clocked after overtime starts. This is based on the employee’s assigned work shift.
  • To view more details on a specific record, click the record in the table. You can view more details such as location, WiFi, device, and additional remarks in the dialog box.
  • To export the report, click Export Report in the upper right. A .XLSX file will automatically be generated for your download.

View attendance records on a monthly basis

  • In the SeaTalk Admin Center, navigate to Application > Leave & Attendance.
  • In the left panel, click Attendance Summary.
  • Click the Monthly Report tab. By default, you’ll be shown records from the current month.
  • To change dates, click the calendar icon and select the start and end dates you want to view.
  • To filter the employees further, click the Department, Work Group, and Employee Status dropdown menus and select the type of employees you want to view.

  • In the table, view the attendance records per employee on a monthly basis.
  • Employee: name and image of the employee.
  • Work Group: the work group the employee is part of. Learn more about work groups.
  • Attendance Type: whether they have weekly fixed shifts or manually scheduled shifts. Learn more about these attendance types.
  • Attendance Overview:
  • Present / Required Days: the number of attendance days against the number of days required. This is based on the employee’s work shifts in the selected date range.
  • Absent Days: the number of days the employee should clock in but was absent.
  • Leave Days: the number of days the employee took leave.
  • Actual / Required Working Duration: the amount of time they worked against the time required. This is based on the employee’s assigned work shifts in the month.
  • Over Working Duration: the amount of time clocked over the required working hours. This is based on the employee’s assigned work shifts.
  • Overtime Duration: the additional amount of time clocked after overtime starts. This is based on the employee’s assigned work shifts.
  • Abnormal Clock in/out Overview:
  • Late In: the number of times the employee clocks in after the start time set in their assigned work shifts.
  • Early Out: the number of times the employee clocks out before the end time set in their assigned work shifts.
  • Invalid: the number of times the employee clocks in or out outside the time range set in their assigned work shifts.
  • No record: the number of times the employees did not clock in or out.
  • Click the attendance record for an overview of their daily records. You can view more details such as location, WiFi, device, and additional remarks in the dialog box.
  • To export the report, click Export Report in the upper right. A .XLSX file will automatically be generated for your download.

View attendance correction records

  • In the SeaTalk Admin Center, navigate to Application > Leave & Attendance.
  • In the left panel, click Attendance Summary.
  • Click the Correction Applications tab.
  • To change dates, click the calendar icon and select the start and end dates you want to view.
  • To filter the corrections further, click the Department, Work Group, and Employee Status dropdown menus and select the type of employees with corrections you want to view. You can also click the Status dropdown menu and select the status of the corrections you want to view.

  • In the table, view the attendance records in detail.
  • Attendance Date: the specific date of the shift in question.
  • Attendance Time: the specific time of their original clock in and out.
  • Correction Time: the time they are requesting to correct the original time to.
  • Status: 
  • Approved: the correction request was approved and has taken place.
  • Rejected: the correction request was rejected.
  • Pending: the correction request is still pending approval.
  • Cancelled: the correction request was withdrawn.
  • Submission Date: when the correction application was submitted.
  • Last Approver: the last employee that approved the request.
  • Approval Date: the date when the request was approved.
  • To view the approval process, click the attendance correction record.
  • To export the report, click Export Report in the upper right. A .XLSX file will automatically be generated for your download.

View original attendance records

If an attendance record doesn’t make sense to you, you can check all changes made to an attendance record in the Original Record tab.

  • In the SeaTalk Admin Center, navigate to Application > Leave & Attendance.
  • In the left panel, click Attendance Summary.
  • Click the Original Record tab.
  • To change dates, click the calendar icon and select the start and end dates you want to view.

  • To filter the employees further, click the Department, Work Group, and Employee Status dropdown menus and select the type of employees you want to view.
  • In the table, view the attendance records in detail.
  • Employee: the name and image of the employee.
  • Work Group: the work group the employee is part of. Learn more about work groups.
  • Attendance Date: the specific date of the shift.
  • Clock Time: the time the employee clocked in or out.
  • Result: whether the record is valid or invalid.
  • Location: where they clocked in or out, based on your attendance rule.
  • WiFi: where they clocked in or out, based on your attendance rule.
  • Device: the device used by the employee for the record.
  • Remarks: information provided by the employee when they clock in offsite.
  • To export the report, click Export Report in the upper right. A .XLSX file will automatically be generated for your download.
