Set up and manage leave policies

A leave policy is a set of leave types and their respective leave rules. Employees must be assigned to a leave policy so they can request leave in the SeaTalk mobile app. 

Set different leave policies according to the leave types and rules different employees are entitled to. 

An example of how you may set up leave policies:

  • Both full time employees and contract workers are entitled to annual leave.
  • However, the full time employee is entitled to 18 annual leave days, and the contract worker is entitled to 6 annual leave days.
  • Full time employees are entitled to marriage leave but contract workers are not.
  • In this case, the SeaTalk admin will create two different leave policies for each type of employee.The full time employee leave policy will have the annual leave type with a specific rule granting 18 days of leave and the marriage leave type.
  • The contract employee leave policy will have the annual leave type with a specific rule granting 6 days of leave.

Employees in the same work group do not have to be assigned to the same leave policies.

Before you start

  • Set up your different leave types and rules.
  • Plan how you want to set up your leave policies for different groups of employees. Some questions you can ask: 
  • What employees should have the same leave types and rules? 
  • What are the leave types and rules applicable to a group of employees?

Set up a leave policy 

Create a leave policy

  • In the SeaTalk Admin Center, navigate to Application > Leave & Attendance
  • In the left panel, click Leave Policy
  • Click Add Leave Policy.
  • Enter the Leave Policy Name. This helps you identify the leave policy. (e.g., full time employee leave) 
  • Enter a description for your leave policy. 

Add leave types and rules to a leave policy

  • In the SeaTalk Admin Center, navigate to Application > Leave & Attendance
  • In the left panel, click Leave Policy
  • Locate the leave policy you want to add leave types to, and click Leave Types.  

  • Click Select Leave Type
  • Select the Leave Types to add to the policy.
  • For each leave type, a section with its name will be added below. In each section, click the dropdown menu and select the Leave Rule you want. You can add another leave rule by clicking the + icon to the right of the leave type name.
  • To the right of each leave rule, click the calendar icon and select the Effective date for the leave rule. Only one leave rule will apply to employees at any one time, based on the effective date.

  • In the bottom right, click Save

Assign employees to a leave policy

Assign employees to a leave policy so they can start applying leave in the SeaTalk app. The policy’s leave types and rules will affect their leave entitlement.

To assign employees to a leave policy:

  • In the SeaTalk Admin Center, navigate to Application > Leave & Attendance
  • In the left panel, click Leave Policy
  • Locate the leave policy you want employees to be assigned to, and click Assigned Employees

  • Click Assign Employee. If the leave policy already has assigned employees, click Assign Employee in the upper right. 
  • In the dialog box, to assign employees to the leave policy: 
  • On the left, select the checkboxes next to the employees you want to assign to the leave policy.
  • To locate the employees, you can use the search box to find the employees or click the Filter icon to filter the employees by department, office location, or payroll company.
  • Click the > icon to move the employees you want to be assigned to the leave policy.
  • You can also select checkboxes in the right panel and click the < icon to move them back.
  • Once all the employees you want are added to the right panel, click Save. They will be assigned to the leave policy.

Edit, deactivate, or delete an existing leave policy

  • In the SeaTalk Admin Center, navigate to Application > Leave & Attendance
  • In the left panel, click Leave Policy
  • Locate the leave policy you want to edit.
  • To set it as the default policy where all new employees will be assigned to, click the icon next to it, and select Set as Default Policy.
  • To rename the leave policy, click the icon next to it, select Edit Leave Policy, and enter a new Leave Policy Name and description. Once done, click Save.
  • To deactivate the policy, toggle the switch off. Employees assigned to the policy can no longer request for leave. You can re-activate the policy later by toggling the switch on.
  • To delete a deactivated policy, click the icon next to the leave policy name, and select Delete. You can only delete a deactivated policy.

Edit leave types of a leave policy

  • In the SeaTalk Admin Center, navigate to Application > Leave & Attendance
  • In the left panel, click Leave Policy.
  • Locate the leave policy you want to edit and click Leave Types.  

  • In the upper right, click Edit Leave Types.
  • Select the Leave Types to add to the policy. 
  • For each leave type, a section with its name will be added below. In each section, click the dropdown menu and select the Leave Rules you want. You can add another leave rule by clicking the + icon to the right of the leave type name.
  • To the right of each leave rule, click the calendar icon and select the Effective date for the leave rule. Only one leave rule will apply to employees at any one time, based on the effective date.
  • To delete a leave type, locate the Leave Type section below and click the bin icon to its right. 
  • To include another leave rule in the same leave type, click the + icon to the right of the leave type name. You may select more than one leave rule. 
  • To the right of each leave rule, click the calendar icon and select the Effective date for the leave rule. Only one leave rule will apply to employees at any one time, based on the effective date.
  • To remove a leave rule, and click the bin icon to the right of the effective date of the leave rule. 
  • Click Save in the bottom right.
