Set up currencies for expense claims

When the claims system is set up, the base currency is selected. This will be the main currency used in your claim reports.

However, if your company handles more than one currency (e.g., your employees travel and need to claim different currencies), as a SeaTalk admin with Currency permission, you need to add more currencies as options for them to make claims.

  • In the SeaTalk Admin Center, navigate to Application > Claim.
  • In the left panel, click Currency.
  • To add a new currency:
  • In the upper right, click Add Currency.
  • In the dialog box, click the Currency dropdown menu and select the currency you want to add.
  • Click the Decimal Places dropdown menu and select the number of decimal places for the amounts in this currency.
  • Select the Effective Date of the currency exchange rate. This will determine when this exchange rate will be used based on the submitted receipt date.
  • Enter the exchange rate (i.e., what one unit of the selected currency is in your base currency).
  • Click Add.

  • To update the decimal places in an existing currency, click the pen icon to its right. In the dialog box:
  • Click the Decimal Places dropdown menu and select the number of decimal places you want.
  • Click Save. The decimal places will be updated.
  • To view the exchange rates for an existing currency, click the currency.
  • To add an exchange rate in an existing currency, click the + icon to its right. In the dialog box:
  • Select the Effective Date of the currency exchange rate. This will determine when this exchange rate will be used based on the submitted receipt date.
  • Enter the exchange rate (i.e., what one unit of the selected currency is in your base currency).
  • Click Add. This exchange rate will be added to the existing currency and the appropriate rate will be applied to claims based on their receipt date.
