Set up and manage your organization efficiently

Report on leave records

After you’ve set up your leave system, you may want to view a summary of your employees’ leave records. 
If you’re taking leave outside of SeaTalk, learn how to import leave balance manually.

Permissions needed

  • Leave Summary permissions 

Before you start

View employee leave balances

  • In the SeaTalk Admin Center, navigate to Application > Leave & Attendance.
  • In the left panel, click Leave Summary.
  • By default, you’ll be brought to the Balance Details tab and be shown records from the current month.
  • To change dates, click the calendar icon and select the month you want to view.
  • To filter the employees further, click the Department, Leave Policy, and Employee Status dropdown menus and select the type of employees you want to view.

  • To export the report, click Export Report in the upper right. A .XLSX file will automatically be generated for your download. 
  • In the table, view the balance details. 
    • Employee: name and image of the employee.
    • Join Date: the date employees joined the organization and the date that leave proration starts. 
    • Department: the department an employee is part of. 
    • Policy: the leave policy an employee is assigned to. 
    • The remaining columns are the leave types set up and their respective balance details for the current period. 
      • If N/A is displayed in the column, the employee either is not entitled to this leave type or must request for leave days to be credited to their leave balance.

View leave applications

  • In the SeaTalk Admin Center, navigate to Application > Leave & Attendance.
  • In the left panel, click Leave Summary.
  • Click the Leave Application tab. By default, you’ll be shown records from the current month.
  • To change dates, click the calendar icon and select the range of dates you want to view.
  • To filter the employees further, click the Department, Leave Type, and Employee Status dropdown menus and select the type of employees you want to view.

  • To export the report, click Export Report in the upper right. A .XLSX file will automatically be generated for your download. 
  • In the table, view the balance details. 
    • Employee: name and image of the employee.
    • Leave Type: the leave type of the leave days requested by the employee. 
    • Duration: the number of leave days requested by the employee. 
    • Date: the leave dates requested by the employee. 
    • Submission Date: the date the leave request was submitted by the employee. 
    • Last Approver: the last employee who approved or rejected the leave request. 
    • Approval Date: the date the leave request was approved or rejected. 
    • Status: the status of leave requests. There are 5 types of statuses: 
      • Approved: the leave request has been approved. 
      • Pending: the leave request is awaiting approval. 
      • Rejected: the leave request has been rejected. 
      • Withdrawn: the leave request has been withdrawn by the applicant. 
      • Terminated: the leave request cannot be processed as there is no valid approver found in the approver level and the approval level cannot be skipped. Learn how to set up the leave approval process

View credit applications

  • In the SeaTalk Admin Center, navigate to Application > Leave & Attendance.
  • In the left panel, click Leave Summary.
  • Click the Credit Application tab. By default, you’ll be shown records from the current month.
  • To change dates, click the calendar icon and select the range of dates you want to view.
  • To filter the employees further, click the Department, Leave Type, and Employee Status dropdown menus and select the type of employees you want to view.

  • To export the report, click Export Report in the upper right. A .XLSX file will automatically be generated for your download. 
  • In the table, view the balance details. 
    • Employee: name and image of the employee.
    • Leave Type: the leave type of the balance requested by the employee. 
    • Credit: the number of leave days credited to their leave balance once approved. 
    • Valid Period: the date range where the employee can request leave under this leave type. 
    • Submission Date: the date the balance request was submitted. 
    • Last Approver: the last employee who approved the balance request. 
    • Approval Date: the date the balance request was approved. 
    • Status: the status of leave requests. There are 5 types of statuses: 
      • Approved: the balance request has been approved. 
      • Pending: the balance request is awaiting approval. 
      • Rejected: the balance request has been rejected. 
      • Withdrawn: the balance request has been withdrawn by the applicant. 
      • Terminated: the leave request cannot be processed as there is no valid approver found in the approver level and the approval level cannot be skipped. Learn how to set up the credit approval process.
