Set up the different work shifts that may apply to any of your employees. You can then easily schedule these work shifts for employees in a work group in its attendance rule.

Before you start
- Plan the types of shifts your employees will have. Some questions you can ask:
- Are there fixed hours?
- If so, what is the time for half a day’s worth of work?
- If not, what’s the minimum number of hours you want your employees to work?
- How many times do you want your employees to clock in and out?
Set up a fixed shift
Set up a fixed shift when there are fixed working hours for your employees. For example, your employees need to work from 8am to 5pm and cannot work any other hours.
To create a fixed shift:
- In the SeaTalk Admin Center, navigate to Application > Leave & Attendance.
- In the left panel, click Work Shift.
- To create a new shift, click Add New Shift in the upper right. You can also edit an existing shift by clicking the shift and clicking Edit in the bottom right of the dialog box.
Please note: if you edit a shift already scheduled in your work groups, it will update your employees’ schedules.
- In the dialog box, enter the Shift Name.
- Select Fixed Shift.
- Select the number of intervals in the shift. For example, if a shift has two intervals, the employee must clock in and out twice during the shift.
- For each interval, set up the following:
- Starts: select the time when the shift starts.
- Ends: select the time when the shift ends.
- Earliest-in: select the earliest time that employees can start clocking in for the shift. Employees cannot clock in before this timing.
- Latest-out: select the latest time that employees can clock out from the shift. After this timing, employees cannot clock out and it will be recorded as No record in the attendance summary.
- If you selected only one interval, select the Break Time checkbox to add time for a break. The break hours will not be added to the Total Working Hours.
- Enter the Half-day Cut Off Time.When employees do a first half shift, they must clock out after this time. When employees do a second half shift, they must clock in before this time.
- By default, all attendance records that don’t match the fixed shift hours will be recorded as an absence. To categorize irregular attendance, toggle the Abnormal Attendance Settings switch on. You can customize the labels for such records:
- Late In: the employee clocks in after the time you specify passes from the shift start time.
- Invalid: the employee clocks in after the time you specify passes from the shift start time.
- Early Out: the employee clocks out before the time you specify from the shift end time.
- Invalid: the employee clocks out before the time you specify from the shift end time.
- To allow overtime, toggle the Overtime switch on. You can enter the time for overtime to start and the minimum amount of time to count as overtime.
- In the bottom right, click Add or Save. Your shift is now saved and can be used when scheduling shifts.
Set up a flexible shift
Create a flexible shift when there are no fixed working hours for your employees, but you require them to work a certain number of hours.
For example, your employees need to work for at least 6 hours in the day, between 8am and 11pm. With a flexible shift, they can clock in at 12pm and out at 6pm to take their attendance.
- In the SeaTalk Admin Center, navigate to Application > Leave & Attendance.
- In the left panel, click Work Shift.
- To create a new shift, click Add New Shift in the upper right. You can also edit an existing shift by clicking the shift and clicking Edit in the bottom right of the dialog box.
Please note: if you edit a shift already scheduled in your work groups, it will update your employees’ schedules.
- In the dialog box, enter the Shift Name.
- Select Flexible Shift.
- Enter the Attendance period:
- Earliest-in: select the earliest time that employees can start clocking in for the shift. Employees cannot clock in earlier than this.
- Latest-out: select the latest time that employees can clock out. If employees miss this time, the day’s clock out will be labelled No record in the attendance summary.
- Enter the Required working hours in hours and minutes. Employees need to clock in this amount of time to have a normal attendance record.
- To mark employees as absent when they don’t clock in enough work hours, select the Minimum working hours checkbox and enter the minimum hours and minutes you want.
- If the employee doesn’t clock in this amount of time at least, they will be labelled as absent.
- If the employee only clocks in the minimum number of working hours, they will have an abnormal attendance record.
- If you want your employees to work a specific range of time within the attendance period, select the Core period checkbox and enter the times in the Starts and Ends fields. For example, you may want all employees to work from 2pm to 3pm. That will be the core period.
- To allow overtime, toggle the Overtime switch on. You can enter the time for overtime to start and the minimum amount of time to count as overtime.
- In the bottom right, click Add or Save. Your shift is now saved and can be used when scheduling shifts.
Set up a free shift
Create a free shift when you only require your employee to clock in and out within a certain time-frame. For example, your employees are required to be in the office between 9am to 12pm.
- In the SeaTalk Admin Center, navigate to Application > Leave & Attendance.
- In the left panel, click Work Shift.
- To create a new shift, click Add New Shift in the upper right.You can also edit an existing shift by clicking the shift and clicking Edit in the bottom right of the dialog box.

- In the dialog box, enter the Shift Name.
- Select Free Shift.
- Enter the Attendance period:
- Earliest-in: select the earliest time that employees can start clocking in for the shift. Employees cannot clock in earlier than this.
- Latest-out: select the latest time that employees can clock out. If employees miss this time, the day’s clock out will be labelled No record in the attendance summary.
- If you don’t need employees to clock out, select the Clock out is not required checkbox.
- In the bottom right, click Add or Save. Your shift is now saved and can be used when scheduling shifts.
