Schedule shifts for your employees

When you want your employees to take their attendance at work, you need to schedule their shifts. During their shifts, employees then can clock in and out to record their attendance. Learn more about creating work shifts.

Before you start

Access the work group’s shift schedule

Access an inactive attendance rule

  • In the SeaTalk Admin Center, navigate to Application > Leave & Attendance.
  • In the left panel, click Attendance Rule.
  • Locate the inactive work group’s attendance rule you want to set up.
  • Click the icon to its right and select Activate rule.

  • After setting up the attendance settings, click Next in the bottom right. You’ll be directed to the Shift Arrangement step.
  • Select an attendance type.
  • Weekly Regular: all employees in the work group have the same working schedule. Learn more below.
  • Manual Schedule: different employees in the work group have different working schedules. Learn more below.

Access an active attendance rule

  • In the SeaTalk Admin Center, navigate to Application > Leave & Attendance.
  • In the left panel, click Attendance Rule.
  • Click the work group you want to schedule shifts for.
  • Click the Shift Arrangement tab.

  • In the upper right, click Edit.
  • Select an attendance type.
  • Weekly Regular: all employees in the work group have the same working schedule. Learn more below.
  • Manual Schedule: different employees in the work group have different working schedules. Learn more below.

Set a weekly work schedule

When you select the Weekly Regular option, you schedule shifts that will apply to all employees in the work group.

Please note: you can only change the selected holiday calendar by editing the work group.

To select the shifts for each working day for the employees in the work group:

  • In the Shift Table section, for each working day, click the Work Shift dropdown menu for each working day and select the work shift for that day.
  • To apply one shift to all working days, hover over the row and click Apply to all.
  • If you want a new shift timing for your employees, click Add Work Shift in the upper right. Learn how to create a work shift.
  • To allow employees to clock in and out on rest days, select the Allow assigning free clock-in/out shift on full rest days checkbox. You can only select free shifts on rest days because they are optional for employees.

  • Once done, click Activate or Save in the bottom right.

The employees can now clock in and out during their assigned shifts.

Schedule shifts manually

When you select the Manual Schedule option, you manually schedule shifts for each employee in the work group.

Please note: the work group’s holiday calendar will apply to the employees, but for manual schedules, weekly work days will no longer apply. You can schedule shifts on any day of the week for the employees in the work group.

Create a shift cycle

If there is a set of shifts that repeats (e.g., same shift hours for two days, rest for one day, and repeat), you can create a shift cycle first before applying to an employee. Once applied, the cycle will repeat to the end of the selected date range.

  • On the right, click Add New Cycle.

  • In the right panel, enter the Cycle Name.
  • Enter the number of days in the cycle. This will populate the number of days below.
  • For each day:
  • Click the Work Shift dropdown menu and select a work shift.
  • Where available, click the Full Day dropdown menu and select a Full Day shift, a First Half shift, or a Second Half shift.
  • To delete a day, click the bin icon next to it.
  • Once done, click Add. The cycle will be created and you can select this cycle when scheduling shifts for each employee.

Schedule shifts for each employee

  • In the Shift Table section, view the shift calendar with the dates in the columns and the employees in the work group in the rows.
  • To view and schedule shifts for the full month, click the Date Range dropdown menu and select Month.
  • To move between weeks or months, click the < and > icons.

  • To allocate a shift for an employee:
  • In their row, click the cell under the specific date you want to schedule a shift.
  • At the top of the pop-up box, click Cycle or Day.
  • Cycle: select a shift cycle. The cycle will repeat until the end of the date range. Learn how to create a shift cycle in the previous section.
  • Day: select a shift for the day.
  • By default, the shift will be a full shift. To schedule a half shift, click the dropdown menu and select a First Half shift, or a Second Half shift.
  • If you want a new shift timing for your employees, click Add Work Shift in the Shift Cycle section. Learn how to create a work shift.

  • On the right of the table, you can click Undo to reverse your last action or Reset to reverse all actions you’ve taken in this session.
  • In the bottom right, click Activate or Save.

The employees can now clock in and out during their assigned shifts using their SeaTalk mobile app.
