Set up and manage your organization efficiently

Set up how your employees take attendance

Before your employees can clock in and out to take their attendance, set the attendance rule for each work group:

  • Time zone for the work group attendance.
  • The manager in charge of the work group’s attendance.
  • The ways employees in the work group can clock in and out.

Before you start

  • Create your work groups and assign employees to them.
  • Decide if there will be an attendance manager for the work group. The group attendance manager can:
  • view details of the work group, including the attendance rule;
  • manually schedule shifts for employees in the work group;
  • view work shifts; and
  • view and export attendance summary reports for the work group.
  • Decide how your employees will clock in and out. Select one or both options:
  • GPS: employees clock in and out by reporting their location. You need to prepare your company address.
  • Wi-Fi: employees clock in and out by connecting to your office’s Wi-Fi network. You need to prepare your Wi-Fi network’s BSSID.

Access attendance rule settings

Access an inactive attendance rule 

When an attendance rule is inactive, it is not applied to the work group (i.e., employees cannot take attendance in SeaTalk).

When a work group is first created, its attendance rule will be inactive by default. Your other admins may also have deactivated an attendance rule for certain reasons (e.g., employees currently work from home).

You can activate an attendance rule by setting it up.

To access the settings of an inactive attendance rule:

  • In the SeaTalk Admin Center, navigate to Application > Leave & Attendance.
  • In the left panel, click Attendance Rule.
  • Locate the work group’s attendance rule you want to activate .
  • Next to the Inactive status, click the icon and select Activate rule.

Access an active attendance rule 

When an attendance rule is active, it is applied to the work group (i.e., employees must take attendance, based on the attendance method set, during their shifts).

  • In the SeaTalk Admin Center, navigate to Application > Leave & Attendance.
  • In the left panel, click Attendance Rule.
  • Click the work group’s attendance rule you want to edit.
  • In the upper right, click Edit.

Once changes made to the attendance settings are saved, they will apply immediately to employees in the work group and may affect their attendance records for that day.

Set time zone and attendance manager

In the Management settings section:

  • Timezone: select the time zone you want for the employees in this work group.
  • Group attendance manager:
  • A group attendance manager can view the attendance summary report for the work group and manually schedule work shifts for the group’s employees.
  • Click and search for the employee you want, and select their name.
  • You can select more than one group attendance manager or none at all.

Set how your employees can clock in and out

In the Clock in/out Method section, set up GPS and/or Wi-Fi attendance methods for your employees. You need to set up at least one method for your employees to take attendance.

  • To allow employees to clock in and out using location tracking on their mobile device, select GPS.
  • On the right, click Add Location. You can add more than one location.
  • In the dialog box, search for the address where employees can clock in or out at. You can also click the map to select a specific coordinate location.
  • To rename the location, click Rename, enter the name you want for the location, and click the tick icon.
  • Click Add.
  • Under the Valid Range column, click the dropdown menu and select how far your employees can clock in or out from the location.

  • To allow employees to clock in and out when connected to your corporate Wi-Fi network, select Wi-Fi.
  • On the right, click Add Wi-Fi. You can add more than one Wi-Fi network.
  • In the dialog box, enter the Wi-Fi Name and BSSID.
  • Click Add.

Set other attendance settings

In the Other Settings section:

  •  Allow auto clock in/out
  • To automatically take attendance for employees with the SeaTalk app open and matching the clock in/out method, toggle the switch on.
  • In the dialog box, click Enable now.
  • Allow to Clock in/out offsite:
  • To let employees take attendance outside the specified locations, toggle the switch on.
  • To require them to send an image of their actual location when clocking in and out, select Live photos required.
  • Allow corrections:
  • To allow employees to request attendance corrections, toggle the switch on.
  • In the Correction limit person/month field, you can enter the maximum number of corrections per month per employee.

When you’ve finished setting this up for an inactive attendance rule, click Next in the bottom right to continue setting up the shifts of your employees in the work group. You can only save these settings once you set up your employee shifts.

When you’ve finished editing an active attendance rule, click Save in the bottom right. The updated settings will now be applied to the employees in the work group.
