Create and manage work groups

An employee’s work group determines the days they need to clock in for their attendance and when they can take leave.

In your organization, different employees may have different working days and holidays. For example, you may have one sales department, but the employees work in different regions. In this case, you can assign employees of each region to a region-specific work group.

If all your employees have the same working days and holidays, you can simply edit and set up the default work group. Any new employees in the Admin Center will automatically join the default work group.

Once you’ve set up your work groups and their working days, you can set up your employees’ shifts and schedule when their shifts occur.

  • Holiday Calendar/Work Group permission

Before you start

  • Understand how you want to group your employees.
  • Decide the working days for each group of employees on a weekly basis.
  • Set up the applicable holiday calendar for each group of employees.

Create a work group for attendance and leave

To create a new work group:

  • In the SeaTalk Admin Center, navigate to Application > Leave & Attendance.
  • In the left panel, click Work Group.
  • In the upper right, click Add Work Group.
  • Enter your Work Group Name. This will help you identify the work group.
  • Click the Holiday Calendar dropdown menu and select the holiday calendar for the work group. Learn more about how to create a holiday calendar.
  • By default, the weekly working days are Monday to Friday. You can click a day to select or clear it. To select half a day, you can hover over the working day and select 1st Half or 2nd Half.
Please note: if you’re using the Attendance feature, the working time (i.e., the start time and end time) can be customized when you set up work shifts.
  • In the bottom right, click Add. Your work group will be created.

A newly created work group will have no employees. Once you add employees to the work group, they can begin to request for leave.

If you also want to mark attendance in your organization through the work group, activate the group’s attendance rule.

Add employees to a work group

Assign employees to a work group so they share the same working days and holidays. This will affect the days they should clock in for attendance and can apply their leave.

To assign employees to a work group: 

  • In the SeaTalk Admin Center, navigate to Application > Leave & Attendance.
  • In the left panel, click Work Group.
  • Click the work group you want to add employees to.
  • Click the Assigned Employees tab.

  • In the upper right, click Assign Employee. If there are no employees currently, click Assign Employee.
  • In the dialog box, to add employees to the work group:
  • On the left, select the checkboxes next to the employees you want to add to the work group.
  • To locate the employees, you can use the search box to find the employees or click the Filter icon to filter the employees by department, office location, or payroll company.
  • Click the > icon to move the employees into the work group.
  • You can also select checkboxes in the right panel and click the < icon to move them back.

  • Once all the employees you want are added to the right panel, click Save. They will be added to the work group.

Edit a work group

You can make adjustments to an existing work group, set it as default, or delete it.

  • In the SeaTalk Admin Center, navigate to Application > Leave & Attendance.
  • In the left panel, click Work Group.
  • Click the work group you want to edit.
  • To set this work group as default:
  • In the upper right, click the More Actions dropdown menu and select Set as default.
  • In the dialog box, click Set. Going forward, all newly created employees will be added to this work group.
  • To delete the work group:
  • In the upper right, click the More Actions dropdown menu and select Delete.
  • In the dialog box, click Delete.
Please note: you must remove all employees from a work group before you can delete it.
  • In the upper right, click Edit.
  • To update the work group’s name, enter the new Work Group Name.
  • To update the work group’s holiday calendar, click the Holiday Calendar dropdown menu and select the holiday calendar you want.
  • To update the work group’s working days, click a day to select or clear it. To select half a day, you can hover over the working day and click 1st Half or 2nd Half.

  • Once done, click Save in the bottom right.
