Organization invitations will only take effect from 13 July 2026 onwards.
When you add an employee to your organization via the SeaTalk Admin Center, an invitation will be sent to them that they must accept via the SeaTalk mobile app before being officially onboarded. This gives employees a chance to confirm their intent to join and keeps your organization's membership accurate and secure.
If your organization has verified a domain with us, any added employee whose email address matches a domain in your list of verified domains will be automatically added, without requiring an invitation. For more information on verified domains, please refer to this article.
All invitations sent from your organization are listed in the Sent Invites tab. To access it:
The table displays the following columns for each invitation:
Each invitation in the Sent Invites table will have one of the following statuses:
| Status | What it means |

| Pending | The invitation has been sent and is awaiting the employee's response. |
| Accepted | The employee accepted the invitation and has been successfully onboarded into your organization. |
| Onboarding Failed | The employee accepted the invitation, but something went wrong during onboarding and they failed to join your organization. You can resend the invite to try again. |
| Declined | The employee declined the invitation. You can resend the invite if needed. |
| Cancelled | You cancelled the invitation before the employee responded. You can resend the invite if needed. |
| Expired | The invitation was not responded to within 7 calendar days and has expired. You can resend the invite if needed. |
Click the Action Menu icon (⋮) on any row in the Sent Invites table to see the available options. The options shown depend on the invite's current status:

You can cancel a Pending invitation at any time before the employee responds. Once cancelled, the employee will no longer be able to join your organization through that invite.
The employee will be notified via SeaTalk that the invitation has been cancelled, and you can always resend an invite to them later if necessary.
If an invitation has expired, been declined, cancelled, or failed, you can resend it to give the employee another chance to join.
Clicking "Resend Invite" opens up a panel, allowing you to edit the employee's information if necessary before resending the invite.
Note:
- When resending an invite, the email field of the employee cannot be changed. A new invite will have to be created by adding the employee again if you would like to send the invite out to another email.
- Resending an invite does not create a new row in the table. The existing row will simply be updated, and the Invite Status will return to Pending.
- If the employee has already joined your organization through another method (e.g. self-onboarding), you will not be able to resend the invite to their email. An error message will indicate this.
Once an invitation has been accepted, the employee's profile will be officially created. Clicking on "View Profile" will open up a panel on the right, allowing you to view the employee's profile directly from the Sent Invites page.
Invitations are valid for 7 calendar days from the date they are sent. If the employee does not respond within this window, the invite will automatically expire.
When you send an invitation, here's what happens on the invitee's end:
Note: It is recommended to always leave "Send Email Invitation" checked, unless you have a separate onboarding process of your own that involves notifying a new employee to download SeaTalk.
Note: Invitations can only be responded via the SeaTalk mobile app, v3.68 and above.
You cannot undo a cancellation, but you can resend a new invite to the same employee. Their status in the Sent Invites table will return to Pending once the new invite is sent.
Invited employees only appear in the Organization table after they have accepted the invitation. Until then, you can track their invite in the Sent Invites table.
Batch imports still works as per normal, just that each imported row will be handled individually:
